Ink Passports
An Ink Passport is a digital record of the inks used for a tattoo. It includes details like the brand, supplier, ink name, batch number, lot number, expiration date, and the artist’s signature.
Why Use Them?
Ink Passports are part of a European regulation that all countries must comply with, though enforcement varies. Some European countries, like the Netherlands, require Ink Passports for health and safety compliance. They ensure proper documentation of tattoo inks used, protecting both artists and clients.
Enable Ink Passports
Ink Passports are required in some countries, like the Netherlands, where the GGD enforces them. If your shop is in a country where they aren’t mandatory, you can choose to enable or disable them.
To enable: Go to Settings → Administration → Scroll down → Check ‘Use ink passport’.
How It Works (When Enabled)
- Appointment is booked.
- Customer arrives at their appointment.
- Consent Form: The client fills out and signs the consent form before the tattoo session.
- Tattoo Session: The tattoo is placed.
- Ink Passport: The artist goes to the appointment, clicks ‘wrap up’ & completes and signs the Ink Passport.
- Payment & Confirmation:
You can’t complete the ink passport without a completed consent form and you can’t proceed to payment without a completed Ink Passport. (unless you’re the manager account, you can skip what you want)
When you are ready with the ink passport, click ‘next’ to proceed to payment.
To finalize payment, click ‘Save & Mail Ink Passport’.
The client automatically receives an email with aftercare instructions, the Ink Passport, and the signed consent form.
When Ink Passports Are Disabled
- Appointment is booked.
- Consent Form: The client fills out and signs the consent form before the tattoo session.
- Tattoo Session: The tattoo is placed, and payment is processed as usual.
The client receives an automatic email with the signed consent form and any aftercare instructions immediately after signing the consent form.
