Introduction to CRM

A Customer Relationship Management (CRM) system is the backbone of modern tattoo studios, designed to help artists and shop owners manage every aspect of their business with ease. In the tattoo industry, a CRM system goes far beyond just storing client names and numbers—it becomes the central hub for tracking client history, managing bookings, and handling digital consent forms. With features like automated booking and consent forms, tattoo artists can spend less time on administrative work and more time focusing on their art. By streamlining communication and keeping all client information organized, a CRM helps studios deliver a personal touch while increasing revenue and efficiency. Whether you’re managing a busy studio or working as a solo artist, a CRM system ensures that every client interaction is smooth, professional, and memorable, setting your business apart in a competitive market.

Tattoo studios experience more competition and other difficulties in 2025 than before. Just before Covid it was enough to make only good tattoo work, and the photo’s attracted the customers on autopilot. These days, it’s not that easy anymore, you will need descent marketing and make sure your studio provides a better customer experience than the competition.

As a tattoo studio you have 2 types of customers: your tattoo clients and also your artists. You want to keep your artists happy and you want to keep your client happy, which can be a delicate balance. Your artists want to be focused on their art and are less interested in making appointments, figuring out apps, counting revenue and using tools. Your tattoo clients just want to have the best tattoo in the best circumstances for the best price, sounds familiar?

Tattoogenda tattoo studio software is made by and for tattoo shop owners who want to take it a step further, who want to grow their studio and make it a flourishing business where people want to connect with and come back to. If you are not afraid of marketing and sales, CRM (=Customer Relation Management), if you have the attention span for trying out new things and if you are business minded, this tattoo crm is for you. The CRM streamlines the booking process, making it easy to identify and engage with every potential client, turning inquiries into confirmed appointments and loyal customers. Below’s a short list of the most popular features Tattoogenda Tattoo Studio Software has to offer for bigger tattoo shops. Tattoogenda is designed specifically for tattoo businesses, providing tailored solutions that address the unique operational and client management needs of tattoo studios.

With this CRM, the shop’s manager can see every artist’s calendar for scheduling appointments between the shop’s clients and the artist. The system manages all artists’ schedules in one place, suggests available time slots for clients, and helps prevent double bookings by automatically flagging conflicts. It also tracks how many clients are booked at any given time, ensuring efficient use of studio resources.

Every (guest) artist has his own profile, where they can see their own bookings and schedules.

This is a great way for guest artists to follow up the bookings you are creating for them before they arrive for their guestspot. From now on they will always be prepared :). (Who are we kidding.. )

2/ Les courriels automatisés

When you create a booking for your client in our CRM, that client can receive automated email receipts:

  • One email with their new list of appointments + a button through which they can pay their deposit.

  • Two email reminders of their deposit to be paid + again a payment button.

  • Automated cancellation mails if the deposit is not paid on time

  • Automated appointment reminders, eg. 24h before their tattoo appointment.

  • Aftercare email in which you can include automated review requests to gather client feedback.

3/ Rappels par SMS

You can also choose to have Tattoogenda(=TG) CRM send out an SMS to every customer 24h before their appointment, so they don’t forget—these SMS notifications are automated reminders designed to keep clients informed and reduce no-shows. This drastically reduces no-shows.

4/ Dépôts numériques dans notre Tattoo CRM

There are two ways of collecting tattoo studio deposits with Tattoogenda CRM. The CRM automates deposit collection as part of the booking workflow, ensuring a seamless process for both the studio and clients.

5.1. Manual deposit collection
You can manually request a deposit from your client. After the client pays the deposit, the system streamlines confirming appointments by automatically updating the booking status and sending confirmation notifications.

5.2. Automated deposit collection
With automated deposit collection, the booking contains a red flag until the client completes paying the deposit. This ensures that only committed clients secure appointments, reducing no-shows and improving studio efficiency.

Or if you want to state it differently, you can charge deposits in two ways: after the booking is made, or as a requirement before the booking can be created. I’ll explain more in detail below.

If you ever have a no-show, you can then easily draw a list of customers of this artist who indicated they want to come earlier if the opportunity arises, and start making those phone calls. The CRM eliminates the back and forth typically required to fill last-minute openings, making the process more efficient.

6/ Formulaires de consentement

When clients arrives in your tattoo shop for their service, you can send them a consent form link by QR code or SMS or email. You can pick and choose which questions you want to be asked on your tattoo business consentform to comply to your local laws. Our formbuilder allows a lot of flexibility here. Going from customer information like extra contact details to medical requests to age restrictions. A customer has to sign a consent form with a digital signature.

7/ Gérer les clients

Keep track of every client: their contact details file, allergies (filled out through the consent form), their customer history, if they were a no-show in the past, how much they paid your shop in total and per artist, etc. The CRM centralizes all client records, including contact info and booking history, into each client’s profile for easy access. Everytime you select a customer to create a new booking, you will be shown their history.

Every deposit has a log of when it was paid and when it was (partialy) used.

There are different reporting possibilities to do sales tracking, identify trends, compare revenue over different periods, payments per artist, payments per period or per guestspot, etc. The CRM also supports commission tracking for multi-artist studios, making it easy to calculate and manage artist commissions, especially in larger setups with multiple staff members.

By using the app, artists can spend more time tattooing and less time on administrative work, maximizing their time tattooing and allowing them to focus on their craft.

Studio Growth

As your tattoo studio grows, keeping everything organized can become a real challenge, especially as you add more clients, artists, and bookings to your schedule. That’s where a CRM system truly shines. For solo artists, it means never losing track of a client or missing a booking, while for multi artist studios, it ensures everyone stays on the same page. With a CRM, you can easily manage and track client interactions, monitor bookings, and analyze business trends, all in one place. This allows you to focus on your art and your clients, rather than getting bogged down in paperwork. By automating routine tasks and providing a clear overview of your studio’s operations, a CRM system helps you make smarter decisions, deliver better service, and grow your business with confidence.

Security and Compliance

Protecting client data is a top priority for any professional tattoo studio. A reliable CRM system is built with security and compliance in mind, ensuring that sensitive client information—like medical history and payment details—is always safe. Look for CRM features such as encrypted data storage, secure payment processing, and customizable access controls to keep your studio compliant with industry standards like GDPR and HIPAA. By managing client information securely, your studio not only meets legal requirements but also builds trust with clients, showing them that their privacy and safety are taken seriously. With a secure CRM system, you can focus on creating great tattoos, knowing your business and your clients are protected.

Rapports et analyses

Understanding your business is key to staying ahead in the tattoo industry, and a CRM system gives you the tools to do just that. With built-in reporting and analytics features, tattoo studios can track everything from booking rates and revenue to client retention and artist performance. These insights help you spot trends, identify opportunities for growth, and make data-driven decisions that benefit your business. Detailed reports on client interactions and booking history allow tattoo artists to tailor their services and marketing efforts, ensuring every client feels valued. By leveraging the power of analytics, your studio can optimize operations, increase revenue, and deliver an exceptional experience to every client.

Integration with Other Tools

Efficiency is everything in a busy tattoo studio, and a CRM system that integrates with your favorite tools can make all the difference. Seamless connections with social media platforms like Instagram(coming soon) and Facebook (coming soon), Whatsapp and mail inbox, online booking systems, and payment processors such as Stripe mean less manual work and fewer mistakes. For the email marketing enthusiasts, TG integrates with Brevo. And WordPress. With integrated tools, you can manage bookings, process payments, and communicate with clients—all from one central system. This not only saves time but also ensures that every part of your business runs smoothly, from the first client message to the final payment. By choosing a CRM system that plays well with others, tattoo studios can stay organized, focus on their art, and provide a top-notch experience for every client.
